Booking and attendance are different

In the recall-to-treatment scenario, each Appointment reserves a particular visit. Its basedOn link identifies the applicable recall or treatment request. The Encounter records the actual contact.

A cancellation or no-show does not automatically end the recall plan or care responsibility. A booking can exist before the clinician or room is known. Do not invent an individual practitioner to complete an unassigned booking.

Mapping an EHR calendar

Source situation	Mapping consideration
A calendar entry says “Active”	Establish whether this means confirmed, proposed or merely not deleted before choosing a FHIR status.
The booked date is in the past	The date alone does not prove attendance or completed care.
A clinician is listed	Listing a participant does not necessarily establish their acceptance status.
Planned times are available	Preserve their timezone and precision. They do not supply missing actual contact times.
A patient books directly	Do not manufacture a clinical request or EpisodeOfCare solely to populate an optional link.

A recurring clinical need belongs in ServiceRequest. A requested booking window or a series of calendar entries does not by itself establish an indefinite recall plan. Clinical findings and the authored journal note have their own records.
